MEET SCHEDULING PROCEDURE
NOR-CAL has adopted this procedure to provide an opportunity for all
interested organizations to host a meet.
NOR-CAL and the Northern California chapter of the National Association
of Women’s Gymnastics Judges have developed the following procedure in
consideration of the many requests, length of competitive season, availability
of judges, and fairness to all member organizations.
IT
IS STRONGLY ADVISED THAT MEET HOSTS CAREFULLY CONSIDER THE POTENTIAL OF THEIR
MEETS. IF YOU ARE HOSTING FOR THE FIRST
TIME OR HAD DIFFICULTY FILLING YOUR MEET IN THE PAST YEAR, THE ASSIGNING
CHAIRMAN MAY LIMIT THE NUMBER OF DAYS YOU HOST.

One meet weekend per competitive
season (Fall and Winter) per club will be considered. Currently, there are approximately four compulsory
(Fall) and two Optional (Winter) meets per weekend. Only
one Level 10 meet per competitive day can be scheduled. After that, other Level 10 meets could be
assigned only upon availability of judges. |

four weeks prior to the meet, and will be considered based on availability. |

PRIORITY ONE. Every NOR-CAL
member club is allowed to request one (1) meet weekend. Requests that are submitted during this
period will be sorted and coordinated by the NAWGJ Assigning Chairman. Requests will be processed on a
first-received, first-served basis, and only if all Priority One requirements
are met. For consideration, each club
must meet the following requirements:
1.
NOR-CAL
membership: host club should be a member in good standing
2.
Requests must be
made by a USAG certified Meet Director. All USAG sanctioning and meet policies
must be followed.
3.
All Official
request forms and fees (USAG Sanction Request, Request for Judges, $3/judge
finder fees) must be sent to the NAWGJ Assigning Chairman between
April 15-May 1. Make
checks payable to NAWGJ.
4.
Optional: include
at least one alternate date in case your first choice can not be assigned
In situations of multiple requests on
one weekend, consideration will be given based on the date the request was
received, availability of judges, and location. In case the first choice can not be scheduled, the assignor will
attempt to schedule the alternate dates, if indicated.

club’s first meet during this period and requests for second or more meets will
be considered. Requests that are submitted
during this period will be sorted and coordinated by the NAWGJ Assigning
Chairman. Requests will be processed on
a first-received, first-served basis, and only if all Priority Two requirements
are met. For consideration, each club
must meet the following requirements:

requests will be placed on the official NOR-CAL Calendar. The preliminary calendar will be available
at the Spring NOR-CAL General Meeting.

HOW TO REQUEST JUDGES FOR YOUR MEET
1.
MARCH-APRIL: PLAN YOUR MEET CALENDAR
You may want to consider dates of
large annual invitationals in planning your meet.
2.
APRIL 15-MAY 1: PRIORITY ONE
REGISTRATION PERIOD
Refer to the NOR-CAL Meet Scheduling
Procedure found in the NOR-CAL Handbook.
Mail all request forms and fees to the Assigning Chairman. Requests will only be processed
upon receipt of ALL forms and fees. Note the following
requirements:

Host
organization should be a member in good standing
·
Requests must be
made by a USAG certified Meet Director.
All sanctioning and meet policies must be followed as per USAG. Consult the USAG Rules and Policies for more
information.
·
Copy of your
USAG Sanction Request Form (found in the USAG Rules and Policies)
·
Official USAG
Request for Judges form (found in the USAG Rules and Policies)
·
Start times,
number of sessions, and number of judges MUST be specified on forms. Also, it is highly recommended that you
submit an alternate date for your meet, in cases of multiple requests for the
same weekend.
·
$3/per requested
judge must accompany the forms. Make
checks out to NAWGJ.
·
One Compulsory
Meet and One Optional Meet per competitive season will be considered. In cases of multiple requests for a specific
date, the Assigning Chairman will coordinate meets based on postmark of request
and availability of judges.
·
Only one Level 10 meet per
competitive day will be scheduled. Additional
Level 10 meets could be considered at the discretion of the Assigning Chairman,
based on the availability of judges.
The Assigning Chairman will
coordinate meets for a specific date until full. The number of meets which “fill” a date will depend on the number
of active judges available in NOR-CAL.
If a requested date is full, the Chairman will consider your alternate
date if you indicate one.
3.
MAY 2-JUNE 1: PRIORITY TWO

Additional Level 10 meets could be considered at the discretion of the
Assigning Chairman, based on the availability of judges.
The Assigning Chairman will coordinate
meets for a specific date until full.
The number of meets which “fill” a date will depend on the number of
active judges available in NOR-CAL. If
a requested date is full, the Chairman will consider your alternate date if you
indicate one.
4.
AFTER JUNE 1: PRIORITY THREE
REGISTRATION PERIOD
Use the same procedure as Priority
One and Two at least one month prior to your meet date. Availability during this period is
limited. Please contact the Assigning
Chairman for available dates.

TO REQUEST JUDGES
5.
JUNE: CHECK NOR-CAL CALENDAR FOR
ACCURACY
A schedule of
meets will be distributed at the Spring NOR-CAL General Meeting. Check the calendar carefully to confirm your
meets. Contact the Assigning Chairman
concerning any discrepancies.
6.
MINIMUM OF 1 MONTH PRIOR TO MEET:
SUBMIT MEET INFORMATION, ANY CHANGES OF MEET DATES, NUMBER OF JUDGES/SESSIONS,
START TIMES, ETC. IN WRITING
Send actual meet information,
including session dates, times, levels, competing teams, map and any requests
for changes to Assigning Chairman.
Contracted officials will only support changes requested in writing at
least one month before the meet.
7.
2 WEEKS PRIOR TO MEET: CONFIRM
ACCURACY OF MEET INFORMATION
Approximately 2 weeks prior to the
meet, a schedule and list of assigned judges will be sent to the club by the
contracting official. Check the
schedule for accuracy.
8.
WITHIN 2 WEEKS OF MEET: NOTIFY ALL
JUDGES TO CONFIRM ANY CHANGES
It is the meet director’s
responsibility to notify all assigned officials of any changes made within 2
weeks of the meet. The contracting
officials are not responsible for making these calls. Judges who are not correctly notified must be paid according to
the original sessions and times specified in their contracts.
9.
CANCELLATIONS: SEND FEES TO CANCELLED
JUDGES AS PER USAG CONTRACT
This should never happen, but if a
session or meet must be cancelled within one week of the scheduled date, all
judges must be sent fees for 2 hours per session.
